Introduction These terms and conditions apply to all services offered by “PanExpeditions,” whose registered office is at PanExpeditions Outdoor Activities HQ, Thesi Mitikas, Eksostis Arias, Nafplio, Greece 21100.
By making a booking with us, you confirm your acceptance of these terms and conditions.
A. Operational Details & General Rules
A.1. Tour descriptions and itineraries are provided as guidelines and may change at the discretion of the tour leader.
A.2. All activities are open to individuals who are mentally and physically healthy, in reasonable physical condition, and able to swim.
A.3. Participants must follow the instructions of the tour leader/guide at all times.
A.4. Outdoor activities involve inherent risks. Participants voluntarily accept these risks. PanExpeditions is only liable in cases of willful misconduct or gross negligence. Our trained staff prioritize your safety and will offer assistance when needed.
A.5. Participants must inform the guide of any medical conditions prior to the tour. Minors must be accompanied by an adult or have written parental consent to participate.
A.6. We reserve the right to refuse participation if a guest appears unfit or unsafe to engage in an activity.
A.7. The guide may exclude anyone behaving in an antisocial or unsafe manner, or who poses a risk to themselves or the group.
A.8. Equipment is provided on a first-come, first-served basis unless pre-arranged or necessary for safety or suitability (e.g., families with children needing double kayaks). We ask for understanding in these cases.
A.9. PanExpeditions reserves the right to override equipment preferences for safety reasons, such as weather, age, or body size.
A.10. Certain activities (e.g., snorkeling, treasure hunts, or free exploration) may occur without staff supervision. Participants engage in these at their own risk. PanExpeditions is not liable for injuries, losses, or damages resulting from unsupervised activities. Guests must assess their own abilities and act with caution.
A.11. Cooking classes involve the use of sharp tools and hot surfaces. Participants agree to use all kitchen equipment responsibly and follow safety instructions. PanExpeditions is not liable for injuries caused by misuse or negligence.
A.12. During a visit to our HQ, guests use the on-site swimming pool at their own risk. No lifeguard is on duty. Children must be supervised. PanExpeditions accepts no responsibility for pool-related injuries or accidents.
A.13. As our base is in a natural outdoor setting, plants, insects, and environmental elements may cause allergic reactions or minor injuries. Guests must take reasonable care when moving around the property. PanExpeditions is not liable for incidents related to the natural environment or the property.
B. Payment Terms & Conditions
B.1 Booking Process
B.1.1. Booking requests are made through our booking system or by completing the inquiry form.
B.1.2. A booking confirmation email will be sent to you once we process your request, reserving your selected service under these terms and conditions. Agencies, clubs, societies, and group leaders are responsible for informing their clients of these terms and conditions.
B.2 Payment Methods and Terms
B.2.1. To reserve your spot on a day tour, a non-refundable deposit of 25% is required, subject to our cancellation policy.
B.2.2. The remaining balance may be paid in cash after the tour.
B.2.3. If you prefer to pay by credit card, bank transfer, or PayPal, the full amount must be paid at least 24 hours prior to the tour.
B.2.4. Any transaction fees (e.g., bank or credit card charges) must be covered by you.
B.2.5. For travel agents: a 25% deposit is required (subject to our cancellation policy), and the balance must be paid at least 48 hours before the tour, minus the agreed commission.
C. Changes and Cancellations by Us
C.1 If We Change or Cancel Your Tour
C.1.1. PanExpeditions aims to provide all services as confirmed. However, due to the nature of our tours, participants must be flexible and open to alternative arrangements.
C.1.2. In the unlikely event we need to change the tour arrangements, we will offer you the following options:
C.1.2.1. An alternative tour of similar nature and value. If there is a price difference, it must be covered by the respective party.
C.1.2.2. An alternative tour date.
C.1.2.3. A full refund of all monies paid if the tour is cancelled.
D. Changes and Cancellations by You
D.1 If You Change Your Booking
D.1.1. If you wish to change your confirmed booking, please contact us as soon as possible. We will do our best to accommodate your request, but changes are subject to availability.
D.1.2. No additional charges will apply unless the change involves extra services beyond the original agreement.
D.2 If You Cancel Your Booking
D.2.1. Please notify us by email or phone if you wish to cancel your booking.
D.2.1.1. If you cancel after paying a deposit:
- Cancellation 7 days or fewer before the tour: no refund of the deposit.
- Cancellation 8 days or more before the tour: full refund of the deposit, minus any transaction fees.
D.2.1.2. If you cancel after paying the full amount:
- Up to 7 days before the tour: full refund, minus any transaction fees.
- Between 48 hours and 7 days before the tour: 50% refund, minus transaction fees.
- Less than 48 hours before the tour or no-show: no refund.
E. Liability Insurance
PanExpeditions is insured for bodily injury, death, and material damage. A copy of our insurance policy is available upon request.
F. Use of Trade Name
We reserve the right to use our trade name “PanExpeditions” before, during, and after the tour, and may request reviews or feedback from participants, including those who booked through third-party agents.
G. Acknowledgement of Risk and Acceptance of Terms
By confirming a booking with PanExpeditions, participants acknowledge that they have read, understood, and agreed to these Terms and Conditions. They also confirm their understanding of the inherent risks involved in outdoor and unsupervised activities and accept responsibility for their participation.
H. Governing Law
These Terms and Conditions are governed by the laws of Greece. Any disputes arising shall be subject to the exclusive jurisdiction of the Greek courts.
